1. Discovery and venue access. Confirming what the venue, team, and league will and won’t approve. This is the phase that defines what’s actually buildable: venue dimensions, security constraints, broadcast sightlines, partner sign-offs. Usually two to four weeks. First-time stadium activators routinely underestimate it.
2. Design and fabrication lead time. Concept refinement into engineered, build-ready drawings, then into the shop. For a mid-scale activation, six to ten weeks of fabrication is typical. Hero pieces and tech-integrated formats take longer.
3. Install logistics. Phased installs, overnight load-ins, working around live games, practices, and concerts. Most major venue installs happen in four-to-twelve-hour windows.
4. Live activation period. On-site presence during the event window. Staffing, daily resets, tech support, brand stewardship. The activation has to work for the full run, not just the press preview.
5. Teardown, storage, and asset management. What comes out, what gets stored, what gets refreshed for the next event. Stadium assets aren’t disposable. The good ones get redeployed across a season or a tour.
